What do I do to open my booth when Trade Show time is approaching?

When it is almost time for the live tradeshow – go to your booth and select the “Enter Virtual Tradeshow Booth” button – then select manage and “Start Live Meeting” to start the tradeshow Zoom meeting. The Zoom meeting will open in YOUR Zoom software. The person who does this for your booth will be the manager of the zoom call.  There can only be one manager of the Zoom call.

What is the difference between my booth and my virtual tradeshow?

Your “booth” is essentially your organization’s landing page. Attendees can access this at any time now through the conference (even if you are not there) to view your logo, description, documents, or request more information. Think of this as your table at an in-person event.

During live trade show hours during the Northern Green Virtual days (January 11-14), the virtual trade show will be open for attendees to come to your booth and interact via Zoom. On your organization’s page, click Enter Virtual Tradeshow Booth, then click Manage, then click Start Meeting to prompt the meeting. Now wait for attendees to arrive! Please note you will need to have Zoom downloaded on your computer!

When is the virtual live tradeshow?

Live tradeshow hours during Northern Green Virtual will be Monday, Tuesday and Wednesday – January 11-13 from 10 a.m. to 1 p.m. and Thursday, January 14 from 10 a.m. to noon. This is when you should plan to have booth staff available and in the your booth’s zoom meeting to interact with attendees and answer questions!

What types of exhibitor analytics are available?

Exhibitors get up to two types of analytics (dependent upon booth type). Both can be downloaded in .csv format in their booth management portal. Booth staff can click the Manage tab in the upper right hand corner of their booth to see their Visits and Leads.

  1. Visits – anyone who navigates to the booth’s page. Visits show the attendee’s name, company, # of times they visited your booth, and the date/time they visited your booth. Note: the attendees who join your booth’s virtual zoom meeting do not become a hard lead. They are listed under Visits.
  2. Leads – when an attendee visits a booth and clicks on the “Contact Us” button and submits their request. Booth staff can click on a specific lead to see the info the attendee requested, as well as their email, phone number (if listed on the attendee’s profile), title, and company, as well as the exact times the attendee visited their booth.

A Leads Report can be downloaded by clicking Manage > Leads > Download Leads. These reports include the attendee name, title, company, phone number (if attendee lists this on their profile), email, notes (which lists their exact request and any notes you add), and the # of times the lead visited your booth.

Booth staff have the options, for each Visitor or Lead, to navigate to the attendee’s profile, send a chat message, or send a private zoom meeting request.

How can I interact with attendees?

  1. Public Discussion: Each booth has a public “Discussion” board. Booth staff can create posts that attendees can reply to or like. Attendees can also post questions/comments. Note that this discussion board is PUBLIC – all attendees can see what’s posted here.
  2. Virtual Tradeshow, aka your booth’s zoom meeting: During live tradeshow hours, attendees can join your booth’s zoom meeting by navigating to your booth and clicking “Enter Virtual Tradeshow Booth.” Be in this meeting ready to greet attendees, and if more than one attendee and one booth staff is in this meeting, you can set up a private breakout room to chat with an attendee in (see below).
  3. Private Chat Conversation or Private Zoom Meeting: If attendees don’t want to post on the public discussion board, they can click “Contact Us” in the upper right corner of your booth. These requests will show up on your booth’s back end under “Leads.” You can then privately message the attendee or set-up a private zoom meeting (separate from your virtual tradeshow public meeting).
      When attendees visit your booth, they can also click on one of the booth staff members to visit their profile, then the attendee could send them a private message or request a private meeting. You, as booth staff, would then receive a notification on the bell icon (to the right of the top navigation bar) and would also receive an email notification.
  4. Virtual Tradeshow Breakout Room: If there is more than one booth staff in your booth’s zoom meeting and more than one attendee joins, your booth’s Zoom session host can click the Breakout Rooms tab and create a breakout room for them and the attendee to join to video chat privately.
  5. Send private messages and/or set up appointments with attendees. You may view attendees by clicking on People and then attendees. You may then click on the attendee you wish to engage with and further select to Schedule Meeting or Send Message.

How do I include videos in my booth?

You can upload videos as links OR as files. If you upload them as links and you want them to look like an embedded video, you must link to a video on a video platform like YouTube or Vimeo. Otherwise, a video will look like just a link. Doing a video in the links section will put the video just below your description. OR you can upload the video as a file. Doing so, will embed the video on your profile. Doing a video in the files section will place the video in the lower right area of your booth.

How do I put photos or images in my booth aside from the header banner?

If you want a photo or image to show on your profile page – you can insert the photo or image into your description. To do this, when in your description, put your curser where you want the image to appear and then click the image tool above (by the bold, italics, underline, justify, etc area) – follow the prompts.

Can I link to things from my booth’s description?

You may link copy or images from your description to a website/URL. To do so, highlight what you would like to hotlink from within the description, click on the chain link tool above and follow prompts. (Or simply put your curser where you want to put in words to be hotlinked, click on the chain link tool and follow prompts.)

Is there a way to put more content in the left column on my booth page?

Yes, you can add links, photos and content within the “description” box which will appear in the left column.

I am seeing “Enable Talk Now” under our booth staff names while on my manage booth page. What is that? Should I check that box?

This is not pertinent to Northern Green Virtual 2021.  Please disregard.

Can I schedule appointments with attendees or other exhibitors?

Yes, locate the person you would like to meet with at either People > Attendee or People > Exhibitor.  On their name card choose the three dots from the top right corner, then from the dropdown choose “Schedule a Meeting.”  Follow the prompts to suggest a date and time and description.  Then click “Send Invitation.”  The recipient then has the choice to accept or decline the appointment.  If the recipient accepts the appoint, you will receive a notification both within the Virtual Platform and via e-mail and the appointment will automatically be added to your My Agenda page within the platform.

How do I access a scheduled appointment with an attendee?

Navigate to Schedule > My Agenda and click on the appointment when it is set to happen.  You will enter a Zoom call once you click on the appointment.

How will I know if someone has entered the live Zoom meeting in my virtual trade show booth?

There is no alert or notification, but you will see their video pop upon entry.  You are asked to have someone monitoring your Zoom session for visitors!

How can I see who has visited my booth?

Click on Manage and then Visits. Consider requesting appointments with attendees who have visited your booth. You can do so by clicking the three buttons on their line in the report.

Can I start the Zoom meeting within my booth early?

  • 20 minutes before the live trade show is schedule to start, meeting admins can start or join the live meeting and be seen/heard only by other admins.
  • 1 minute before the start time: All other attendees will be able to join the live meeting, or start it if not already started by an admin.

How do I end the Zoom meeting in my booth?

To end the meeting, you can select the “End Meeting” button within zoom OR 10 minutes after the end time the meeting will be automatically ended if you haven’t ended it yourself.

Is there a limit to the number of staff that can be in my Zoom meeting during live trade show hours?

No, there is not a limit to the number of people in your Zoom session at one time – you can have as many staff or as few in your Zoom session as you want/prefer.

As an exhibitor, do I need to download any software in order to participate in virtual meetings/sessions within the platform/website?

To access the event platform/website, you will need a computer or iphone/android/tablet and a stable internet connection. You’ll also need Zoom. If you don’t have it already, go to https://zoom.us/download and select the blue “Download” button under “Zoom Client for Meetings.” Choose the location on your computer where you’d like to save the download. Once the download is finished, “ZoomInstaller” will appear. Run the software, and Zoom will begin installing.   • Internet: Ensure you have a strong internet connection to avoid buffering or slow downs
  • Clear Your Browser Cache: If you’re experiencing technical difficulties, try clearing your browser cache first.
  • Close Unused Browser Tabs or Windows
  • Use headphones or a separate speaker for the best audio quality and experience.

Can I use my iphone/android/tablet to access the event and watch virtual sessions?

Yes, you can use mobile devices to access and participate in the event.

Best Practice: Please ensure that your mobile device is connected to a stable internet connection. A connection of 3 Mbps or higher is recommended.

What are the dates for Northern Green Virtual?

Northern Green is moving online in 2021. The virtual event will take place as originally scheduled on January 11-14, 2021. In addition, access to customized exhibitor landing pages and on-demand education sessions will be available post-event until September 1, 2021.

What will be included in the schedule?
